Nursing Informatics Boot Camp

This boot camp will be on September 28-30 in O’Fallon, Illinois. This intensive two day course focuses on current informatics trends and issues in health. It includes content for nurses who are interested in becoming Board Certified Informatics Nurses. Countdown: 90 days until Go-Live

It’s a holiday weekend here in the United States.  I hope all of you are enjoying your time off. I know I am.  This is the last three day holiday that the project team will have for the rest of the year.  So, its time to enjoy.

My normal work schedule has been to come in and work on the weekend just to catch up.  The deadline to get all of our content was moved up ten days early. The stress has begun.  I noticed my colleagues are on edge.  People are not talking to each other anymore and snapping at each other. They are even snapping at the administrative secretaries because there are no meeting rooms available. This is so sad that our work has gotten so stressful that we are treating people unkindly.

This is what was happening the past week because everyone knows August is over and September is here.  There is only 90 more days until we go-live with the system.  Are we ready?  Are the end users ready?

Countdown: 100 Days til Go-Live

We’ve reached the 100 day until go-live mark. Tomorrow, we will start counting down in two digits. We still have a lot to do as testing continues. Pilot training is scheduled for next week where the credentialed trainers present the lesson plans to the trainers and analysts. There is still a lot of content build to do as we prepare for our deadline in a few weeks. We got a surprise from our directors today. We received a meeting invite that was cryptic with no location. I had an inkling of what we were going to do. But, I did not really know what we would be doing or why we were meeting at the nearest park. I was in the testing room and the testing director announced that all inpatient team member were to meet at the park. So, we all left. Some of my colleagues did not even get the invite. I met some of them in transit and told them where we were going. It was a good thing I heard earlier in the morning what we were really doing. Apparently, I heard we were going to “play”. A Peak Into My Work Life

I’ve been writing about the various pre-go-live activities. Back in December, I wrote about a Day in the Life of An Analyst and thought I would share what my day is like 90 days before a go-live.

I am the type of person who likes to be on top of things. I like to be prepared for meetings. I like to have an agenda and a list of what I will discuss for the meeting. In addition, if I know I will be doing a demonstration, I will prepare a test patient and make sure I have the correct workflow.

My day is never the same everyday. Sometimes, I have early morning meetings and sometimes I don’t have any meetings at all.  I will describe my typical Monday.

My typical Monday starts at 8 AM.  I begin my morning checking my email and answering the critical ones. Then, I check my calendar just to get a picture of what my day and week will be like.  If I don’t have any meetings in the morning and the office is quiet, I will begin my hardest work or work that requires a lot of thinking. Depending on the deadline,  I will finish this project before I start another.

Next, I see  if there are any defects assigned to me from integrated testing.  I check the testing queue and if there are any, I write out a change management ticket in order to be reviewed by the integrated team.  The change management meetings are twice a week and if I miss the Tuesdays change management meeting, I have the Thursday meeting to bring my changes in order for it to be approved.  The deadline to have the change management ticket is Monday at 5 PM so if I want my changes in on Tuesday, I make sure I have my tickets ready.  Before it goes to the change management meeting, my director or team lead will need to read over the ticket to make sure I have everything I wrote is complete.

By the time I have my change management ticket ready (believe me its a time-consuming and rigorous process), lunch time has arrived.  I try to have lunch away from my desk but sometimes it is not possible. I do try my best to at least go outside for some fresh air or run and do my errands if I can.  It all depends on how late I want to stay that day.

On Mondays after lunch are our weekly team meeting for an hour. I make sure the agenda is completed and print out a few copies so my team member are aware of the agenda items.  This meeting is led by the director and outstanding items and information are announced in this meeting.  In addition, the workgroups give a synopsis to the team of the plans and activities that particular workgroup is going through.

After my team meeting, is another meeting I usually attend if I am available. It’s my standing security workgroup meeting. In this integrated meeting, all security representatives from all applications (live and not-live) are in attendance and gives a brief overview of any changes their team needs to make.  Security is integrated and if one team makes a change it can seriously impact another application team.  The security meeting usually lasts an hour or less and after the meeting I go back to my desk and see what is next on my list.  If I have another meeting, I usually attend that.  If not, I check my list of projects to see what else needs to be done. This will last me the rest of the day and then I will call it a day.  And the next day is something new.

Countdown: 117 Days til Go-Live

August has arrived. When I think of the word August, I think of summer, vacation, beach, relax, and fun. Not, work, overtime, or stress. So much has happened since my last countdown from July 26. The last CPM session is the professional exchange hand-off or shift report. My colleagues and I recorded a webinar for the clinicians to view. Ultimately, the clinicians own the hand-off process. I heard the sessions have gone well and a few clinicians have made recommendations. I am grateful to have the clinical champions run these sessions. I don’t know what I would do if my colleagues and I led these sessions, considering all of the other items I need to get done. In parallel, August 5 marked a go-live of Phase 1C. The institution’s cancer center went live. I am personally supporting this go-live this weekend but so far I have heard it was a success. Of course there were some hiccups on the first day but was resolved immediately. I am so happy to hear this go-live went well. In addition to the Cancer Center go-live, testing started up again last week. It’s been

crazy since some of my colleagues are supporting the cancer center and some are involved in testing. Everyone is all over the place. I am involved in the testing phase. Even though its a tedious process, we need to make sure everything works. I can’t tell you how we are almost here with the inpatient go-live. I am getting nervous. My colleagues are getting scared. Next week will be the 90 day Go-Live Readiness Assessment. Are we ready? Things are happening so fast. My head is swirling. Sometimes, I just need to stop and think about things. But there is no time. September is our content deadline and need to have our content in as soon as possible. But, I can’t get stressed out. I do take care of myself with self-care. I eat away from my desk, if possible and leave at a reasonable time. I can’t burn myself out. For those of you considering working at an institution in the implementation phase, its exciting yet frustrating at the same time. An implementation will give you experience and skills that will last a lifetime.
